Reserving A Property
Once you have decided to take a property we ask you to fill out an initial application form which should be returned to us as soon as possible please. If your application is successful then to reserve the property we should require you to pay to us a holding deposit of the equivalent of one weeks’ rent to enable us to commence the referencing procedure. This holding deposit will be withheld if any relevant person (including any guarantor(s) withdraw from the tenancy, fail a Right- to-Rent check, provide materially significant false or misleading information or fail to sign their tenancy agreement (and/or Deed of Guarantee) within 15 calendar days (or other Deadline for Agreement as mutually agreed in writing).
References
Should you wish to take a property all prospective tenants, guarantors and occupiers over the age of 18 will require to be referenced using the Vouch Referencing System. As a minimum we will require satisfactory references from your employer or college and a previous or current landlord. We may also require a personal reference and sometimes a guarantor. In addition a credit check will be undertaken.
Rent
Rents are normally quoted calendar monthly and payable monthly by standing order in advance on the same day of the month that the tenancy commenced. The tenant is usually also responsible for Council Tax, Water Rates, Gas, Electricity and Telephone costs.
Tenant/Guarantor Fees
UNPAID RENT – Interest at 3% above the Bank of England Base Rate from Rent Due Date until paid in order to pursue non-payment of rent. Please Note: This will not be levied until the rent is more than 14 days in arrears.
LOST KEY(S) OR OTHER SECURITY DEVICE(S) – Tenants are liable to the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord any other persons requiring keys will be charged to the tenant. If extra costs are incurred there will be a charge of £15 per hour (plus V.A.T.) for the time taken replacing lost key(s) or other security device(s).
VARIATION OF CONTRACT (TENANT’S REQUEST) – £50 (plus V.A.T.) per agreed variation. To cover the costs associated with taking landlord’s instructions as well as the preparation and execution of new legal documents.
CHANGE OF SHARER (TENANT’S REQUEST) – £50 (plus V.A.T.) per replacement tenant or any reasonable costs incurred if higher. To cover the costs associated with taking landlord’s instructions, new tenant referencing and Right-to-Rent checks, deposit registration as well as the preparation and execution of new legal documents.
EARLY TERMINATION (TENANT’S REQUEST) – Should the tenant wish to leave their contract early with the Landlords agreement, they shall be liable to the landlord’s costs in re-letting the property as well as all rent due under the tenancy until the start date of the replacement tenancy. These costs will be no more than the maximum amount of rent outstanding on the tenancy.
Identification
Should you wish to take a property all prospective tenants, guarantors and occupants over the age of 18 will need to provide to us original documents for copy such as passports, certificates of registration as a British citizen, national identity cards or biometric immigration documents/residency documents.
Right To Rent Checks
In order to comply with the Immigration Act 2016 we are legally obliged to verify all tenants identity, immigration status and Right to Rent status prior to the start of the tenancy. To do so you will be required to provide to us original documents such as passports, certificates of registration as a British citizen, national identity cards or biometric immigration documents/residency documents/share codes that demonstrate the right to rent in the UK for all adults over the age of 18 that will be occupiers of the rented property. If we are not satisfied with the documentation that you provide or you do not have the right to rent in the UK then we cannot by law allow a tenancy to commence.
Further Payments
Once referencing is successfully completed we should require you to immediately pay to us the equivalent of four weeks’ rent which we shall add to your original one weeks’ rent holding deposit to make a total of five weeks’ rent which will form the deposit for the tenancy agreement. Shelton & Lines are members of The Deposit Protection Service with which your deposit will be registered. We should also require the payment of your first months’ rent in cleared funds prior to your agreement start date. Please note all payments must be made by Bank Transfer with no exceptions.
Tenancy Period
All tenancies are signed for a minimum fixed term of six months. Please note all tenants, guarantors and occupants who have been referenced will need to be present on the day the contracts are signed at our Offices.
